1. Service Agreement
By booking our photo zone rental services—whether for weddings, parties, or corporate events—you agree to these terms. Our rental services operate in compliance with relevant UK business regulations and event industry standards.
We provide professional photo zone rentals through our experienced team across England.
2. Service Scope and Quality Standards
Our services include photo zone setup, backdrop installation, basic prop provision, and theme implementation. We focus on providing quality rental services using professional equipment and decoration techniques suitable for different event types.
While we perform services to professional standards, setup outcomes can be influenced by venue conditions, space limitations, and client-provided information. We provide consultations to ensure realistic expectations and satisfactory results.
3. Client Responsibilities
To ensure successful setup outcomes, clients agree to:
- Provide accurate event information and venue details
- Disclose any venue access restrictions or timing limitations
- Inform us of any specific theme requirements or colour schemes
- Ensure adequate space is available for setup as discussed
- Coordinate venue access for installation and collection
- Follow safety guidelines during event usage

4. Venue Access and Setup Requirements
Clients must provide access to the venue at agreed times for setup and collection. Venues with stairs, lifts, or narrow access points may require additional setup time. We reserve the right to assess venue suitability and request alternative arrangements if needed.
We cannot setup in venues with unsafe conditions or where access prevents proper equipment installation.
5. Booking and Confirmation
Bookings are confirmed upon receipt of booking request and deposit payment. Specific setup requirements will be confirmed during the consultation process. Last-minute changes to service requirements may affect pricing and timing.
Setup timing may be adjusted based on venue access availability and other event arrangements.
6. Pricing and Payment Terms
Rental fees are as published and payable according to our payment schedule. Additional charges may apply for complex setups, extended rental periods, or custom decoration requests. Final balance is due before equipment collection unless alternative arrangements are agreed in writing.
We accept various payment methods including bank transfer, debit cards, and major credit cards. Prices are subject to change with reasonable notice.
7. Setup and Safety Protocols
We maintain strict safety protocols including secure installation, proper equipment anchoring, and clear access pathways. Clients are responsible for ensuring guests use the photo zone appropriately and safely during the event.
We maintain appropriate insurance but cannot accept responsibility for guest behaviour or accidents resulting from improper use of equipment.
8. Cancellation and Rescheduling
Bookings may be rescheduled without charge with 14 days notice. Cancellations within 7 days may incur a 50% cancellation fee. Last-minute venue access changes causing setup delays may require rescheduling to maintain service quality.
We understand that circumstances change and will make reasonable efforts to accommodate genuine emergency situations with appropriate notice.
9. Equipment Care and Damage Policy
Clients are responsible for general care of equipment during the rental period. Significant damage to equipment beyond normal wear and tear may result in repair or replacement charges. We will discuss any damage concerns and obtain agreement before processing charges.
We prioritise equipment safety and quality in all setup decisions, especially regarding venue conditions and guest numbers.
10. Photography and Portfolio Use
We may request permission to photograph our setups for quality records and, with explicit consent, for professional portfolios. Separate written consent is required for any images used in marketing materials or social media.
Clients may withdraw consent for image use at any time by contacting us in writing. Personal photography of our setups during events is permitted.
11. Delivery and Collection Services
Our standard service includes delivery, setup, and collection within agreed timeframes. Clients must ensure venue availability for both installation and collection at pre-arranged times. Waiting charges may apply for delayed access.
We reserve the right to adjust collection timing based on operational requirements with reasonable notice.
12. Theme Customisation and Prop Usage
We provide standard props and decoration options suitable for most event types. While we take care in prop selection, individual preferences may vary. We cannot guarantee completely exact theme matching due to stock availability and design limitations.
Clients must inform us of any specific theme requirements or prop preferences before final confirmation.
13. Liability Limitations
Our liability for rental services is limited to the rental fees paid. We cannot accept responsibility for venue-related issues, weather conditions affecting outdoor setups, or circumstances beyond our reasonable control.
We maintain appropriate insurance and follow industry best practices in all our photo zone rental services.
14. Terms Modification
We reserve the right to update these terms periodically to reflect changes in our services, UK regulations, or event industry practices. The current terms are always available on our website, and continued use of our services constitutes acceptance of any updates.
